VDR pricing is famously opaque. Most providers quote rather than publish, and headline numbers hide what is actually included. Understanding the models makes comparison possible.

The pricing models

Per-page pricing charges by the volume of documents, predictable for a known dataset, painful if your document count balloons. Per-user pricing charges by the number of people with access, good for small teams, costly for wide diligence. Flat-rate or subscription pricing charges a fixed fee per room or per period, increasingly common and easier to budget. Many providers blend these.

What drives the cost

The big levers are storage volume, number of users, number of separate rooms, length of the engagement, and the support tier. Add-ons such as extra administrators, premium support or advanced features can change the total significantly. The cheapest headline rate is not always the cheapest deal.

How to compare quotes fairly

Normalise before you compare. Ask each provider for an all-in quote for your specific scenario (your document volume, user count, room count and timeline), and confirm what is excluded. A transparent provider will give you a clear, all-inclusive figure; treat reluctance to do so as a data point.
